The Event Specialist is responsible for planning, coordinating, executing, and engaging in-person and virtual department-wide events.

Overview

The Department of Global Pediatric Medicine (GPM) is a growing department looking for professionals who are eager to help implement the St. Jude Global (SJG) mission of training the clinical workforce, developing and strengthening health systems and patient-centered initiatives, and advancing knowledge to sustain continuous improvement through research. We are currently in search of an event specialist who will be responsible for planning, coordinating, executing, and engaging in-person and virtual meetings and events for GPM and SJG.


The Global Events Program Specialist is responsible for:

  • Planning and managing dynamic and engaging in-person and virtual events for GPM and SJG.

  • Collaborating with cross-functional teams to plan scope and format of events, establish and monitor budgets, and review administrative procedures and event progress.

  • Ensuring a clear understanding of event goals to accurately determine and implement appropriate organizing, logistics, and scheduling.

  • Tracking project and event expenses and other event-related data.

  • Creating scopes of work for vendor contracts and evaluating the feasibility of contract requests to ensure compliance with department and institutional processes and procedures.

  • Documenting event-related procedures and best practices.

  • Managing special projects and assignments for the department and executive leadership team.

  • Engaging and maintaining strong working relationships with US and international stakeholders.

  • Producing well-written and visually dynamic reports for leadership by creating content and curating, analyzing, and synthesizing information.


Skills and Abilities

  • Experience planning and coordinating meetings and other large events

  • Experience planning and coordinating multiple projects/work initiatives

  • Strong interpersonal, verbal, and written communication skills.

  • Adaptable problem-solving and analytic skills.

  • Flexibility to work across multiple time zones.

  • Ability to work weekends and alternative hours, on occasion, based on certain event needs.

  • Ability to quickly synthesize new information from diverse sources.

  • Excellent organizational skills and attention to detail.

  • Ability to carry out broad assignments with minimal supervision.

  • Flexibility to adapt to shifting priorities.

  • Ability to plan and coordinate multiple projects simultaneously in a fast-paced environment.

  • Ability to handle sensitive matters confidentially and professionally.

  • Ability to adapt work schedule, with prior notice, to virtually support events occurring in multiple time zones.

  • Cultural sensitivity is a must.

Minimum Education

  • Bachelor’s degree in a related field is required.

  • Master’s degree preferred.


Minimum Experience

  • One (1+) year of experience in program/event coordination.

  • Some experience/knowledge in working with project planning tools like MS Project, Microsoft SharePoint, ServiceNow, Smartsheet, Clarity, Planview, and MS Office is a plus.

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $60,320 - $105,040 per year for the role of Event Specialist, Global Pediatric Medicine.
