The Administrative Coordinator is responsible for managing administrative activities to support and accomplish the visionary goals of the Epidemiology and Cancer Control Department and leadership. The Administrative Coordinator will directly support the department chair, as well as engage with internal and external faculty and thought leaders. This person should be able to work in a dynamic, collaborative environment, curate interview processes for faculty and visitors, set agendas, support faculty CV updates, coordinate and plan events as well as complete other job responsibilities as needed.

Job Responsibilities:
- Serve as the primary support team member to the department chair managing their communication, scheduling, general administrative tasks, CVs and bio-sketch needs and participate in special projects/ activities as assigned.
- Manage the day-to-day administrative activities as the key point of contact for multiple areas like supply/special event orders, calendar management, email and phone correspondence, tracking and maintaining vendor contracts, mail management, event coordination, travel planning, badging, visitor management, coordination with other teams on matters of financial systems, etc.
- Manage spend authorizations/ purchase requisition requests for assigned faculty and visitors.
- Track and submit expense reports for assigned faculty.
- Serve as logistics lead for annual department key events, which may include travel 1-2 times/year in addition to multiple on-campus events.
- Maintain digital files in alignment with department norms and requirements.
- Arrange faculty recruitment and guest speaker visits by developing & coordinating itineraries, managing travel planning and expenses and serving as campus guide for full-day
- Contribute to the creation of documents as assigned by Chair and/or manager (i.e., presentations/ manuscripts/ grant writing etc.).
- Support the management of compliance issues.
- May mentor junior members of admin team.
- Perform other duties as assigned to meet the goals and objectives of the department and institution.
- Maintains regular and predictable attendance.
Minimum Education and/or Training:
- High school diploma/GED required.
- Bachelor's degree preferred.
Minimum Experience:
- Minimum Requirement: 6+ years experience in administration or related area.
- Experience Exception: Bachelor's degree and 2+ years experience in administration or related area.
- Experience in event coordination and vendor management.
- Experience in managing communication with variety of stakeholders with tact and sensitivity.
- Experience managing documentation, generating reports and doing simple analysis.
- Substantial experience working with office technologies including Microsoft Office (Word/ Excel/PowerPoint point etc.).
Compensation
In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case.
