Administrative Specialist

The Administrative Specialist will handle confidential information with maturity and discretion. He/She must have excellent communication and organizational skills, and the ability to prioritize and manage multiple activities with conscientious attention to detail.
In order to be successful in this role He/She will coordinate administrative support for project management. Ensure timely and cost effective completion of administrative details. Under minimal supervision, but in accordance with established policies and procedures, provide administrative services for departments. Anticipate, initiate, coordinate and follow up on administrative activities and other special projects. May have the functional responsibility for providing direction to other administrative staff. The scope and complexity of this position is such that the Administrative Specialist is regularly dealing with diverse matters which require extensive knowledge of the department's area of responsibility. Possess the ability to handle sensitive situations in a mature and confidential manner.

Administrative Specialist responsibilities will include:

  • Screen all correspondence and publications bringing those of significance to supervisor /manager
  • Compose correspondence on own initiative about administrative matters and general office policies for manager's signature.
  • Organize, prioritize and summarizes the content of incoming materials specially gathered information requests and meetings.
  • Anticipate and prepare daily schedule of supervisor's meetings.
  • Make detailed travel arrangements for one or several individuals at a time.
  • Use independent judgement in deciding what information must be gathered and the manner of accumulation.
  • Assists with the departmental or project budget. 
  • Interacts when required by job activities with internal customers.
  • Responsible for keeping open lines of communication between their department and others on campus.
  • Gathers and analyzes data requiring special training and /or departmental knowledge (for example preparing budget reports, typing a regulatory document, preparing institutional standing committee meeting minutes, etctyping a regulatory document etc).
  • Assists in maintaining the departmental intranet site.
  • Strive to attend monthly meetings.
  • High school diploma or GED.
  • Five (5) years of administrative support experience required.
  • Experience must involve e-mail, word processing and typing correspondence and reports, data entry, budgeting and bookkeeping, preparing presentations and filing.
  • Database experience preferred.
